General
Apps – These are the applications enabled in your re:Members instance, the list of which are found in the admin menu (Customers, Accounting, Queries, etc.). A.K.A. modules.
Products – Not to be confused with the Products app which contains products types of Merchandise, Publications, and Discounts, "products" in re:Members refer to any product that can be purchased. Each product belongs to a product type, such as memberships, subscriptions, events, sessions, merchandise, publications, discounts, certifications, donations, etc.
SSO Tokens – A mechanism to allow users to log in to re:Members without entering their username and password, mostly commonly generated as a unique link for the user(s). A.K.A. magic link.
Accounting
Order – An order contains product(s) to be purchased by a customer. Orders can be generated by the system, by an administrator, or by an end-user. An order can be paid or unpaid (open).
Open Order – An order that has a balance due. Technically, there is no obligation for the customer to pay it. A.K.A. unpaid order; pro-forma invoice.
Open Orders can be voided, one-at-a-time, or in bulk through a mass process.
Invoice – An invoice is generated from an order. It's created by the system when a customer pays an order. It can also be generated from an order with a balance due by the system or by an administrator. If you "invoice" an open order, then there is an expectation that the customer is obligated to pay it. The accounting implication is that both paid and unpaid invoices will hit revenue when the ledger is created.
Unpaid invoices can be cancelled, one-at-a-time manually and there is no process to cancel in bulk.
Membership
Expiration Date – The date when the customer's membership expires. Whether or not the customer's membership remains active or becomes inactive after their expiration date depends on whether a Grace Period is defined on the membership type.
Grace Period – The date after which the customer's membership actually expires and moves from an Active Membership to an Inactive Membership. Member benefits and member status are automatically removed after a customer's grace period ends.
Termination Date – The date when the membership is terminated and can no longer be renewed. If no Termination Date exists on an Inactive Membership, and the customer purchases the membership again, they will be renewing the membership for the term following their previously held term – essentially renewing the term(s) that they missed. If a Termination Date does exist on an Inactive Membership, and the customer purchases the membership again, they are rejoining for the current membership term and receive pricing/term dates as if they are brand new members.
Membership Drop processes should be run after your membership grace periods have passed (or after your association considers expired members Rejoins vs. Renewals). This process sets the Termination Date in mass for qualifying records. This could be an annual or monthly process, depending on whether you have Annual or Anniversary dues. Connect with ITS on this.
Queries
Query Target – This is the area of the database containing the fields you are looking to use in a query. A.K.A. Table, View, Object.
